1. Acceptance of Terms
By enrolling your child in any program offered by KidsCodeFuture Academy (“the Academy,” “we,” “us,” or “our”), you (“Parent,” “Guardian,” or “you”) agree to be bound by these Terms of Service. If you do not agree with these terms, please do not enroll your child in our programs.
2. Programs and Services
KidsCodeFuture Academy offers coding, robotics, and technology education programs for children ages 5–14. Our programs are available in two delivery modes:
In-Person Programs (Ottawa, ON):
- Weekly coding and robotics classes at our academy
- Summer camps and intensive programs
- Special workshops and events
- Progress updates and project showcases
Online Programs (Self-Paced):
- Self-paced coding sessions via our InnovatorPath platform
- AI-assisted learning with guided missions and projects
- Weekly session limits (1 or 2 sessions per week, 60 minutes each)
- Progress tracking and belt progression
We reserve the right to modify, update, or discontinue any program or service at any time with reasonable notice to enrolled families.
3. Enrollment and Registration
To enroll your child in our programs, you must:
- Be the parent or legal guardian of the child being enrolled
- Provide accurate and complete registration information
- Ensure the child meets the age requirements for the selected program
- For in-person programs: disclose any relevant medical conditions, allergies, or learning needs
- Agree to these Terms of Service and our Privacy Policy
4. Payment Terms
Membership Fee: Our programs operate on a monthly membership basis. Fees are billed on the 1st of each month (prorated for the first month). Current pricing: Innovate Jr. (in-person) $129/mo; Innovate Online $109/mo (1×/week) or $199/mo (2×/week); Innovate In-Person $139/mo. A 10% sibling discount applies to the 2nd child onwards.
Payment Methods: We accept major credit cards, debit cards, and electronic bank transfers. All payments must be made through our authorized payment systems.
Late Payments: Payments not received within 7 days of the due date may result in suspension of the student's access to classes until the account is brought current.
Plan Changes: Online program members can upgrade or downgrade their weekly session plan (1×/week ↔ 2×/week) via the Parent Portal. Plan changes are scheduled and take effect at the start of the next billing cycle. You can cancel a pending change at any time before it takes effect. Your current plan remains active until the change date.
Price Changes: We reserve the right to adjust pricing with advance notice to enrolled families.
5. Cancellation Policy
All Core Programs (Innovate Jr., Innovate Online & In-Person):
Cancel Anytime: You can cancel your child's enrollment at any time from the Parent Portal billing page or by contacting us at support@kidscodefuture.com. The cancellation takes effect at the end of the current billing cycle — no further charges will be made, and the student retains full access until the cycle ends. A confirmation email is sent automatically.
Summer Camps & Special Programs:
Refunds: Membership fees are non-refundable once the billing cycle has begun. Refunds for summer camps and special programs are available up to 7 days before the program start date, minus a $50 administrative fee.
6. Attendance and Class Policies
In-Person Programs:
Regular Attendance: Students are expected to attend classes regularly. Consistent attendance is important for progression through our belt system.
Absences: If your child cannot attend a scheduled class, please notify us at least 24 hours in advance. We offer one make-up class per month for excused absences, subject to availability.
Tardiness: Classes begin promptly at the scheduled time. Students arriving more than 15 minutes late may be asked to wait until the next session.
Extended Absences: If your child will be absent for more than 2 consecutive weeks, please contact us to discuss options for maintaining their enrollment and progress.
Online Programs:
Session Limits: Online students have a set number of sessions per week (1 or 2, depending on their plan). Each session is a 60-minute window. The session timer starts when the student logs in and runs continuously for 60 minutes, even if the student logs out or closes the browser. If the student logs back in during the same window, the timer resumes with whatever time remains. The session automatically ends after 60 minutes.
No Carryover: Unused sessions for the week do not carry over to the following week. Session balances do not roll over to the next billing cycle.
Self-Paced Learning: Online students progress through missions at their own pace. There are no scheduled class times. Sessions can be completed at any time during the week.
7. Code of Conduct
We maintain a safe, respectful, and productive learning environment. Students are expected to:
- Treat instructors, staff, and fellow students with respect
- Follow instructions and safety guidelines
- Handle equipment and technology responsibly
- Refrain from bullying, harassment, or disruptive behavior
- For in-person: not bring unauthorized devices or materials to class
- For online: use the platform responsibly and not attempt to circumvent session limits or access controls
The Academy reserves the right to dismiss a student whose behavior consistently disrupts the learning environment, after consultation with the parent or guardian.
8. Intellectual Property
All curriculum materials, teaching methods, software, and content provided by KidsCodeFuture Academy are our intellectual property and may not be reproduced, distributed, or used for commercial purposes without written permission. Projects created by students during our programs remain the property of the student and their family.
9. Liability and Safety
While we take all reasonable precautions to ensure the safety of our students, KidsCodeFuture Academy shall not be held liable for any injuries, damages, or losses that may occur during participation in our programs, except in cases of gross negligence.
For in-person programs, parents and guardians are responsible for ensuring timely pickup of their children at the end of each session. A late pickup fee of $1 per minute may apply after a 15-minute grace period.
For online programs, parents are responsible for supervising their child's use of the platform. KidsCodeFuture Academy is not liable for any issues arising from unsupervised online activity.
10. Photo and Media Consent
For in-person programs, by enrolling your child you grant KidsCodeFuture Academy permission to photograph and video record your child during classes, events, and Demo Days for use in marketing materials, social media, and our website. If you do not wish your child to be photographed, please notify us in writing at the time of enrollment. This section does not apply to online-only enrollments.
11. Communication
By providing your contact information, you consent to receive communications from KidsCodeFuture Academy regarding your child's enrollment, class updates, scheduling changes, and promotional materials. You may opt out of promotional communications at any time by contacting us.
12. Modifications to Terms
KidsCodeFuture Academy reserves the right to update or modify these Terms of Service at any time. We will notify enrolled families of any material changes via email. Continued enrollment after notification constitutes acceptance of the updated terms.
13. Governing Law
These Terms of Service are governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein.
